Privacy Policy

This Privacy Policy explains how HomeCare Agency Policies(“we”, “us”) collects, uses, and protects information in connection with the HomeCare Agency Policieswebsite and our policy-manual and related document services (together, the “Service”). By using the Service or placing an order, you agree to the practices described here. This policy works alongside our Terms of Use.

1. Agency details only, never protected health information (PHI)

We collect agency and business information only. We do not request, and you must notsubmit, protected health information (PHI), patient or client medical records, or any individual’s health, treatment, or care information. The Service is built to prepare your agency’s operational documents, not to handle patient data. Please keep any PHI out of every form field, email, and attachment you send us.

2. Information we collect

We collect the information you choose to provide and a limited amount of usage data:

Information you give us. When you request a sample, we collect your email address (and the page/variant it came from). When you place an order and complete intake, we collect the agency / business detailsyou submit, which may include your name, email, agency name, the state you’re licensing in, agency type, the services and staffing model you plan to offer, your target open date, and any free-text notes you add about your agency. We use these details to prepare your state-specific documents.

Order and payment information. Payments are processed by Stripe. We do not collect or store your full card number or other payment-card details; those go directly to Stripe. From a completed checkout we receive and retain limited order data such as your email, which plan you bought, the amount and currency, and a Stripe session reference.

Usage data.We record first-party analytics in our own database to understand how the site is used, for example page views and clicks on our offers, along with a randomly generated session identifier and basic event details. This identifier is stored in your browser’s session storage, not in a tracking cookie, and is cleared when you close the tab.

3. How we use information

We use the information we collect to prepare and deliver your documents and any samples you request, process and confirm your order, provide support and respond to your messages, send you order- and service-related emails, operate and improve the site and our offers, and meet legal, accounting, and security obligations. We do not use your agency details to train any product other than to prepare the documents you ordered.

4. Cookies & tracking

We do not use advertising cookies, third-party ad pixels, or cross-site tracking. Our first-party analytics use a random session identifier kept in your browser’s session storage so we can count visits and offer clicks without identifying you personally. Stripe may set cookies on its own checkout pages, which are governed by Stripe’s privacy policy. You can clear browser storage at any time through your browser settings.

5. Third-party services & sub-processors

We rely on a small number of trusted service providers to operate the Service. Each processes data only to provide its service to us:

Stripe: payment processing and checkout.
Resend: sending transactional and order-related email.
Convex: our application database, which stores leads, order records, intake details, and usage events.
Vercel: website hosting and delivery.

Your use of Stripe’s checkout is also subject to Stripe’s own terms and privacy policy. We update this list as our providers change.

6. How we share information

We do not sell your personal information. We share information only with the sub-processors above to run the Service, and where we must to comply with law, enforce our Terms, protect our rights or the safety of others, or in connection with a business transfer such as a merger or acquisition (in which case this policy will continue to govern your information). We do not share your agency details with advertisers or data brokers.

7. Data retention

We keep your information for as long as needed to provide the Service, deliver and support your documents, keep accurate order and tax records, and comply with our legal obligations. When information is no longer needed for these purposes, we delete or de-identify it. You may ask us to delete your information sooner, as described below.

8. Your privacy rights

Depending on where you live, you may have rights to access, correct, or delete your personal information, to obtain a copy of it, to opt out of certain processing, and to be free from discrimination for exercising these rights (including under the EU/UK GDPR and the California CCPA/CPRA). Because we do not sell personal information, there is no sale to opt out of. To make a request, email us at support@homecareagencypolicies.com and we will verify and respond as required by applicable law. You can also stop receiving our emails at any time by replying to any message and asking us to remove you.

9. Security

We use reasonable administrative and technical measures to protect the information we hold, and we work with established providers (Stripe, Convex, Vercel, Resend) that maintain their own security programs. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If we become aware of a breach affecting your information, we will notify you and the appropriate authorities where required by law.

10. Children’s privacy

The Service is intended for businesses and the adults who operate them. It is not directed to children under 13, and we do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

11. International users

We operate the Service in the United States, and the information we collect is processed and stored in the United States. If you access the Service from outside the United States, you understand that your information will be transferred to and processed in the United States, where data-protection laws may differ from those in your country.

12. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date above and, where appropriate, provide notice. Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
